Privacy information

The Website of the International Summer School om Microelectronics (ISSOM) is used as the public appearance of said Summer School, and to facilitate it’s organization. In this document, we inform you about our processing of personal data during your usage of this website.

3. Types of personal data we process

We do not process data during a regular visit of our website, besides data strictly necessary to facilitate your visit:

  • IP-Address
  • User-Agent Information
  • Request-URL
  • Servername and Port

Should you create an account on our website we will collect the following data for the purpose of account management:

  • The email-address used for sign-up
  • The last date of account activity (log in or browsing the website)

Additionally, the collection of further personal data is required for the following processes. All data is provided by the user with explicit user consent.

3.1 Data required for an application

If you choose to send us an application, we require you to supply us with the following personal data:

  • First and last name
  • Gender
  • Date of birth
  • Nationality and current country of residence
  • Phone number
  • Academic background (level of study, expected year of graduation, institution and field of study)
  • Proof of enrollment at a university or similar
  • A transcript of records
  • Curriculum vitae
  • In case of application from a PhD student: Field of research, supervisor, institute

3.2 Data required of visitors

If you are accepted to the International Summer School on Microelectronics, we will additionally require the following personal data:

  • Food Preferences and Allergies
  • Shirt size

Should you incur any travel costs and require reimbursement, we will also require the following strictly necessary data:

  • Bank account details (account holder name, bank name, account number, IBAN, bank code, BIC, tax identification number (if available))
  • Corresponding bank information (if applicable)

Optionally, we provide the option to be included in a participant booklet. Visitors who choose to be included also need to supply us with the following personal data:

  • A picture of themselves
  • Preferred pronouns
  • Links to social media, if any
  • Interests in microelectronics
  • A personal fun fact to serve as an ice breaker

4. Purpose and legal basis

The processing of the personal identifiable data listed above serves to organize the International Summer School on Microelectronics in the following categories:

  • Finding suitable applicants using the data collected in 3.1. This process is entirely human-based and no automated decision-making is employed.
  • Contact applicants about their application using the data collected in 3.1
  • Organize the visit of accepted applicants using the data collected in 3.1 and 3.2
  • Create a participant booklet to hand out to other participants using the optional booklet data mentioned in 3.2, as well as name, field of study, institution and home country
  • Reimburse visitors using the financial data collected in 3.2

The legal basis for temporary storage of data and log files is Article 6 (1) (e) and Article (3) GDPR in conjunction with section 3 of the Lower Saxony Data Protection Act (NDSG) and section 3 of the Lower Saxony Higher Education Act (NHG).

All personal identifiable data mentioned in 3.1 is collected with the explicit consent of the user. As such, Article 6 (1) (a) of the GDPR serves as the legal basis of our processing of this data. Additionally, Article 9 (2) (a) serves as the legal basis of our processing of special categories of personal data. You may opt out of us collecting and processing above data.

Once your visit to the International Summer School on Microelectronics has been accepted, we require your personally identifiable data to fulfill our contract with you. As such, thereinafter Article 6 (1) (b) serves as the legal basis. For optional data supplied by the user such as the participant booklet data discussed in 3.2, Articles 6 (1) (a) and 9 (2) (a) are still applicable.

5. Forwarding of personal data to third parties

Your data is not forwarded for any purpose besides the purposes listed below:

  • Creation of a participant booklet for all participants: We will create a participant booklet of all visitors of the current iteration of the International Summer School on Microelectronics. Every visitor needs to explicitly give consent to being included, and may opt out freely.
  • Reimbursement: We may forward your bank details to our universities finance department to process your travel fee reimbursement.

6. Storage duration

The personal data tied to a user account is stored for up to two years starting from the last day of inactivity, after which the account and all personally identifiable data is deleted from our servers. This includes all data listed above in section 3.

In case that we forwarded your financial data to our finance department for reimbursement, said financial data is stored for up to eight years and subsequently deleted.

7. Your rights

In accordance with article 15 through 21 of the GDPR you have the following rights regarding your personally identifiable data: • Right of access • Right to rectification and completion • Right to deletion • Right to restriction of processing • Right to data portability / Right to receive a copy

8. Right to objection

You also have the right to object to the processing of your data at any time. We will then no longer process your data, unless there are compelling legitimate grounds for the processing or the processing is necessary for the establishment, exercise or defense of legal claims.

9. Right to revocation

You are not required to provide us with any personally identifiable data, unless you want to apply for the International Summer School on Microelectronics. You may withdraw your application or delete your account at any time, which will also revoke your consent to our processing of your data.

10. Right to appeal

You have to right to appeal to the regulatory authority, if you feel that the processing of your personally identifiable data violates the law:
